OTA Contract Rates:  How to Manage Bookings Made Prior to Your Current OTA Connection

When  property adds an interface to a connection, this for all intensive purposes is considered a brand new connection.  This is true when you add BookingCenter as your interface or when a connectivity partner is changed by BookingCenter, and if this happens you will be fully informed.  

For this article, let's say that Connection A was the original connection, and Connection B is the new connection.

  1. For the bookings that you received during Connection A that have yet to check-in, these will NOT download automatically into your BookingCenter software.  If you want to add these into your BookingCenter software, you will have to manually do so.  Please keep in mind the Guest Confirmation Number in BookingCenter will not match the reservation number from the OTA.  
  2. If a booking received during Connection A is cancelled or modified, the change will NOT download into your BookingCenter software.  Instead, the OTA will either email or fax you the modification/cancellation.  (The delivery method was set by you with your OTA Market Manager.)  You will need to manually enter the change into your BookingCenter software.
  3. If a guest from Connection A calls you directly to cancel the reservation, please direct them to contact the OTA to adjust the reservation.  (They already know this upon agreeing to the terms of the reservation, but you will need to remind them.)  If you don't do this, and they don't call the OTA, and you only amend your BookingCenter software but not your OTA extranet, then the guest is still considered live and you will be charged the full commission from the OTA.
