Credit Card declined trying to charge a cancellation fee



If you cannot get the monies for a cancellation charge from a credit card, then you have a business problem. Standard advice is to either:

1) remove the charge from the folio and forgive the cancellation fee.

2) get a different form of payment from the guest prior to Night Audit so the folio can balance.

3) place a 'write off' or other 'place holder' payment in order to allow Night Audit to proceed and then try and get hold of this guest get a different form of payment. You can then remove the 'write off' or other 'place holder' payment and apply a proper payment, if one can be found.


These situations are common and are why many customers charge booking deposits, guaranteeing that the credit card used to confirm a booking is a proper card and can cover a cancellation fee.
