<content:encoded><![CDATA[<p>To transfer a transaction to a folio in another Guest Booking, there must be a transaction created in the original folio AND a corresponding transaction created in the new folio.</p>
<p>For better record keeping, we recommend&nbsp; creating a Receipt Type called Transfer Payment. To set up a new Receipt Type, go to SETUP | PARAMETERS | RECEIPT TYPES. see <a href="https://docs.bookingcenter.com/pages/viewpage.action?pageId=1376625">Receipt&nbsp;Types</a></p>
<p>All of the transactions using this Receipt Type will be grouped together on your reports.</p>
<p>By using Transfer Payment in both transactions, there will be corresponding negative and positive transactions in the same Payment Type. These two amounts balance each other out and you have effectively moved a payment between bookings.</p>

<p><span style="font-family: arial,helvetica,sans-serif;">When you get a person who wants to BUY a Gift Certificate, sell them one in the House Accounts Screen (<strong>Front Desk | House Accounts</strong>). Make sure you place the Gift Certificate number in the Description field so that you have a note attached in BookingCenter that shows which Gift Certificate number you sold, to whom, and on what date. </span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> When a customer wants to pay for their bookings - or other sale items such as a beverage, shirt, mug - with a Gift Certificate, simply choose the Payment type: "Gift Certificate Redeemed" when issuing a receipt and place the number for the redeeming Gift Certificate in the description field, and voila! You have a record of when you redeemed the Gift Certificate.</span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> It's good practice to update your spreadsheet of Gift Certificates when you sell and redeem them. Reports can help you balance your Gift Certificate program. There are two ways to do this in MyPMS:</span></p>

Here is how BookingCenter recommends doing this. </span><span style="font-family: arial,helvetica,sans-serif;">Hint: Many of our properties use a spreadsheet (MS Excel or Lotus 1-2-3) to list the Gift Certificate they are selling and the date at which they were redeemed. </span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> <strong>Preparing a Gift Certificate System:</strong></span><br /><span style="font-family: arial,helvetica,sans-serif;"> Make a list of the Gift Certificates you sell - using the numbering system you like. In one column, write the Gift Certificate number; in another the Date Sold; in another the Quantity (in $$); in another the Date Redeemed.</span></p>

<li><span style="font-family: arial,helvetica,sans-serif;">First, go to your MyPMS and go to <strong>Setup | Parameters | Inventory Items</strong>. Create and an inventory item called "Gift Certificate Sold" the total cost of the Gift Certificate can be written at the time it's sold.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Then, create a new Receipt Type. Go to <strong>Setup | Parameters | Receipt Types</strong> called "Gift Certificate Redeemed". <em>NOTE:</em> DO NOT "Publish to Internet" in your Members Area as you usually DON'T want folks paying for an online booking with a Gift Certificate, as there is no way to monitor its appropriate use online.</span></li>

<content:encoded><![CDATA[<p><span style="font-family: arial,helvetica,sans-serif;">Taxes are configured in the Setup area under <strong>SETUP|SETTINGS|TAX CONFIGURATION</strong></span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> In North America, most businesses charge taxes <em><strong>on top of</strong></em> their rates, as they do not advertise taxed rates. If you do not charge tax, don&rsquo;t tick either box for &ldquo;Collect&rdquo;. If you do Collect Tax, enter the percentage and tick the box if your prices <em>include</em> (common for Commonwealth and European countries) or <em>exclude</em> tax&nbsp;(common for N. America/Carribbean countries).</span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> If you have a secondary tax, such as a bed tax or occupancy tax, the system can track this. If you do not have Secondary Tax, then leave this box blank. Additional taxes or flat fees can be added using the add tax section.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">If you need to alter your taxes, then&nbsp;click the button '<em><strong>Change &lt;tax label&gt; Rate</strong></em>' to change that tax value.</span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> The BookingCenter MyPMS system utilizes site wide tax settings. As such if you have either primary or secondary Collect Tax enabled the values of these fields will automatically populate the RENT item and taxes will be calculated and posted to the guests folio when room rents are posted. It is critical that your primary and secondary tax fields are using the correct values for your business. </span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> Additional taxes or flat fees can be added using the add tax button. In this section add a unique Tax ID followed by a brief description. Choose a flat rate or a percentage rate. Enter the rate as a number. Select whether this tax will be applied on top of other taxes. Choose <em><strong>yes</strong></em> or <em><strong>no</strong></em> for the Nonrecurring Tax. This is used if the tax is applied each day of the stay or only on the total.</span></p>

<content:encoded><![CDATA[<p><span style="font-family: arial,helvetica,sans-serif;">Groups often want to manage charges between the group folio and individual folios. For example, you have a new group for a wedding and the parents of the bride have agreed to pay all the rooming charges for the wedding party, but all other incidentals are to be covered individually.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">To automatically post charges to certain folios in a Group, use the <strong>"Charge To"</strong> setting.This setting is located in the Booking Data tab of the Group Booking and in the Group Booking Wizard.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">This setting has three options:</span></p>
<ul>
<li><span style="font-family: arial,helvetica,sans-serif;"><strong>Group</strong> - All charges ( Room Rent and Other charges) will post to Group Master Folio.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;"><strong>Individual</strong> - All charges ( Room Rent and Other charges) will post to Guest Primary Folio of Individual Booking in the Group.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;"><strong>Split</strong> - Room Rent will post to Group Master Folio and Other charges will post to the Guest Primary Folio of Individual Booking in the Group.</span></li>
</ul>
<p><br /><span style="font-family: arial,helvetica,sans-serif;"> The easiest way to accomplish this is to setup the folio policies prior to adding any individual bookings. &nbsp;</span></p>
<ul>
<li><span style="font-family: arial,helvetica,sans-serif;">When the Group Booking Wizard creates a new Group Booking, there is an option to choose the&nbsp;'<em><strong>Charge To</strong></em>'&nbsp;where charges will go by default - Group or an individual Guest folio.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">But if the choice was not made at the&nbsp;creation of the Group Booking, or needs to be edited, then load the group booking and click on the folio tab.</span>
<ul>
<li>Then click Folio Setup.</li>
<li>You will see two folios listed: Group Master Folio and Guest Folio.</li>
<li>Use the radio buttons provided to determine which charges will be applied to to the group or guest folio. Changes made here will ONLY effect individual bookings added after the folio setup was done. As such it's best to define your group folio policies prior to adding individual bookings.</li>
</ul>

<p><span style="font-family: arial,helvetica,sans-serif;">You can also make folio policy changes to a single individual booking within the group without effecting the rest of the group. To do so load the individual booking in question, click on Folio tab and click Folio setup. Changes you make here will only effect the folio policy for that individual booking.</span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;"> Lastly you can move a charge from the Group Master Folio to an individual guest folio. To do so load the Group Master Folio and select the charge in question. Then using the 'Transfer Checked Items to' drop down select the "Guestname - Primary Folio' and move the charge.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">To move a transaction from one booking to another booking, there must be a transaction created in the original booking folio and a corresponding transaction created in the new booking folio. This is a different function than just transferring a transaction to a new folio in the same booking or between folios in a Group. <content:encoded><![CDATA[<p>While rare, occasionally a transaction will fail when the property attempts to settle credit cards. This can happen due to a guest exceeding their credit limit after the properties auth has expired, a card being canceled prior to settlement, a security 'hold' by the card holder's bank, or other reasons.<br /> <br /> When this happens the Night Auditor will get a warning when trying to settle credit cards:<br /> <br /> "At least one transaction in the batch was not able to settle. The BookingCenter Support staff has been notified about this and will contact the property during the banking business day to attempt a re-settlement of the batch. There is no need to contact support, as we will be in touch during bank hours to assist"<br /> <br /> If this occurs you may continue to run Night Audit as normal, and the BookingCenter support staff will assist during banking hours on the next business day.<br /> <br /> When a bad batch occurs, BookingCenter staff will isolate the errant transaction and reverse the payment to the appropriate folio. This will cause a line item to be added to the original folio with the appropriate card type and a description of "Batch Settlement Failure". In the example shown below, the folio was originally paid with an Amex for $64.70. Upon batch failure, the payment was reversed to the folio as a $-64.70.<br /> <br /> 30-APR-2010 26-APR-2010 jesse American Express 8431 (*note - this is the card holder's AmEx card ending in 8431) American Express 1 $-64.70 <br /> <br /> 30-APR-2010 26-APR-2010 BookingCenter American Express (*note - the reversal was not posted to a specific AmEx, just the original 'Credit Card Type') Batch Settlement Failure 1 $64.70 <br /> <br /> When this 'reversal' posted, the folio will now be out of balance and you must contact the guest for an alternate method of payment, or write off the noncollectable before you can progress Night Audit. It is also possible that the errant settlement was a CREDIT you were applying to a credit card (as opposed to a charge), in which case there is a balance owing on the folio. <br /> <br /> In the case of a closed House Account, should a transaction fail, the House Account folio will be re-opened with the Batch Settlement Failure reversal and the out of balance amount will be trapped at Night Audit to be reconciled.<br /> <br /> One common way to deal with these 'out of balance' folios, if you can not get appropriate alternative payment from the Guest, simply use 'Write Off' as the Payment method and declare it as a loss.</p>]]></content:encoded>

<p><br /><br />The BookingCenter Accounts Receivables (A/R) system takes all Direct Bill payments - both positive numbers (debits) and negative amounts (credits) - and posts them as line item on the Accounts Receivable Invoice for each booking.<br /> <br /> However, there are time when operators err on managing the folio and positive (debits) or negative amounts (credits) need to be posted to an A/R after check out. This article explains how one does this.<br /> <br /> The Accounts Receivables (A/R) system already has the invoice (or statement) sent to the Company and to the A/R Ageing. So, to make a credit or debit to the Company's account, you will need to post an adjustment to the ORIGINAL BOOKING, using the 'Add Payment' for the Direct Bill (DB:Company) for whatever positive (debits) and negative amounts (credits) you wish to make to the Company's A/R. These reconciliations will then be applied in real time to the Companies A/R on the original line item on the Invoice for this booking.<br /> <br /> These payments must may then need to be be balanced with either an offset 'write off' receipt or an 'Adjustment' add charge item to get the folio in balance for Night Audit, depending on the situation.</p>]]></content:encoded>

This can often be due to a guest with a credit card guarantee wishing to pay their balance in cash, or staff error.<br /> <br /> To release an authorization simply go to the Manage Credit Card screen of the booking or house account and locate the card and authorization and click on the blue link that says 'Void Auth'. Once done the status will update from 'Auth' to 'void'.<br /> <br /> When an authorization has been voided the amount of time it takes to release funds depends on the merchant bank and issuing card bank. It can vary from immediately to several days and BookingCenter cannot assist in expediting release of funds. Please inform your guests when voiding an authorization that it may take several business days to release funds and direct any questions to their issuing cardbank.</p>]]></content:encoded>

<content:encoded><![CDATA[<p>In the event that you need to manually charge room rent to a guest(s) account you may do so from 'Add Charge' field on the Folio tab.<br /> <br /> If you wish to manually charge folios on the current business day simply load the folio, select 'Room Rent' from add charge and enter the amount you wish charged for Room Rent. When Room Rent is manually charged for a system date it will <strong>NOT</strong> be charged again during the Night Audit process for that same System Date. &nbsp;This is to prevent 'double charging' of a Folio(s).<br /> <br /> If Room Rent wasn't charged during Night Audit and you need to manually post room rent for a prior system date the process has additional steps.<br /> <br /> 1) For departures on the current system date that need room rent for the prior system date you can simply charge folios manually. Since they are departing on the current system date they won't be effected by room rent being posted on an incorrect system date.<br /> <br /> 2) For bookings that need room rent for a prior system date and are due to have room rent for the current system date there are two ways to proceed.<br /> <br /> 2a) Simply charge room rent <strong>twice</strong> and use the description field to add a notation as to which system date the charges are for. &nbsp;This allows the staff to charge for the date that was not charged and <em><strong>also</strong></em> for 'today's' System Date which will not be charged at Night Audit to prevent double postings. &nbsp;If you do not post twice, and the&nbsp;guest is staying 'tonight', then the manual posting of RENT will mean the room will not get a RENT posting 'tonight' via Night Audit and you will be in the&nbsp;same position again tomrrow having to manually post RENT.<br /> <br /> 2b) Contact BookingCenter support and request us to roll your system date back to the prior business day. <br /> <br /> The button for Charge Folios is not a required button to click in order to "Increment Date" <em><strong>if set to allow Night Audit without charging</strong></em>. The setting to force 'Charge Folios' is found in the Setup | Settings | PMS area - bye default this is set to be required. Depending on your choice for 'charging folios, this becomes a training requirement you need to provide for your Night Audit staff to make sure they click the button <em><strong>Charge Folios</strong></em> manually and then get the message "All Transactions posted successfully" before clicking Increment Date. Failure to have them click this button, and receive both the message and the 'Blue Check Mark' will mean that Room Rents DO NOT post and you will have to do manually.</p>
<p>If you have your system date rolled back please instruct your staff to perform no work in the system other than manually charging folios as you are effectively working on a prior system date and any transactions will reference that date. When you are done charging folios contact support and have us modify your system date back to the current date.</p>]]></content:encoded>

<p><span style="font-family: arial,helvetica,sans-serif;">To Close a House Account Folio, there must be at least one charge and payment and the folio must be balanced at $0. When the Folio is balanced, a "Close this Folio" button will appear. If the folio is empty - with no charges or payments - then the "Close this Folio" button will not be visible and the Folio can't be closed.</span><br /> <br /><span style="font-family: arial,helvetica,sans-serif;">It is not uncommon for a user to create New Folios on the House Account area and then want to close them from view.&nbsp; </span></p>
<p><span style="font-family: arial,helvetica,sans-serif;"><strong>To do this:</strong></span></p>
<ul>
<li><span style="font-family: arial,helvetica,sans-serif;">Add a charge of $.01 to each 'empty' folio you wish to close and choose a receipt type like,&nbsp; MISC charge</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Then Add A Payment of&nbsp;$.01 and choose a payment type like,&nbsp; 'Cash' or 'Write Off' .</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">The folio is now balanced and the&nbsp;"Close this Folio" button will be visible.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Click "Close this Folio" and the Folio will close and disappear from the Tabs in the House Accounts. </span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">View the transactions of the closed folio in REPORTS under Transactions Reports. </span></li>
</ul>
<p><span style="font-family: arial,helvetica,sans-serif;"><strong>Note:</strong> When using this method to close a House Account Folio, the Transaction Report will show that there were x number of $01 MISC charges and payments ( 'Cash' or 'Write Off') for the day, so make the Night Auditor aware of why this was done. &nbsp;You can always find 'closed' House Accounts via the&nbsp;'search House Account folios' feature, so the&nbsp;folio can be 'resurrected' if need be.</span></p>

<p><br /><br />BookingCenter works with a variety of tax standards (VAT, GST, County taxes, nightly taxes, etc) where some tax districts require that taxes be sub totaled or broken out in detail. For these situations, BookingCenter offers choices for the setup of folios and layout of taxes on the folio. Below we also explain how you can 'design' Folios to match your brand.</p>
<p>To select how Folios work with taxes, visit the Setup area | PMS tab | Setup (<a href="https://mypms.bookingcenter.com/site_pms_setup.phtml">https://mypms.bookingcenter.com/site_pms_setup.phtml</a> ).<br /> <br /> The setting choices are:<br /> <br /> 1) No Tax Breakout: <br /> This setting keeps taxes in line with the Charges they are posted, listed vertically below each Item. This is the standard used in USA, as the folio lists charges/payments as they are made..<br /> <br /> <br /> 2)Tax Subtotal: <br /> In this selection, Charges and Taxes are listed together and all taxes are sub-totalled at bottom in one category called 'Taxes' (or whatever is the description for the Inventory Group called 'Taxes' in the setup area) for simpli&iuml;&not;cation if there are multiple taxes.<br /> <br /> <br /> 3) Full Tax Breakout: <br /> In this selection, the words "tax invoice" is stated in a prominent place; Item taxes appear all together on the folio and and all taxes are broken out and sub-totalled at bottom. The Tax Invoice is intended for VAT/GST (tax inclusive) setups and assumes that rates and prices are sold inclusive of tax. Many GST/VAT tax authorities require breaking out what was paid in taxes as a sub-total.<br /> <br /> See the attached PDF document "folio_tax_layout_choices.pdf" at bottom of this KnowledgeBase for a visual example of the differences or simply open one of your folios and play with the 3 settings to see its effect on your Folio layout.</p>

<p><span style="font-family: arial,helvetica,sans-serif;">To move a transaction from one booking to another booking, there must be a transaction created in the original booking folio and a corresponding transaction created in the new booking folio. This is a different function than just transferring a transaction to a new folio in the same booking or between folios in a Group. See <a href="https://docs.bookingcenter.com/display/MYPMS/Group+Folio+%7C+Transfer+Deposits">Group Folio | Transfer Deposits</a> and <a href="https://docs.bookingcenter.com/display/MYPMS/Group+Folios+%7C+Transfer+Transactions">Group Folios | Transfer Transactions</a></span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">For better record keeping we recommend&nbsp; creating a Receipt Type called <strong>Transfer Payment</strong>.All of the transactions using this Receipt Type will be grouped together on your reports. By using <strong>Transfer Payment</strong> in both transactions, there will be corresponding negative and positive transactions in the same Payment Type. These two amounts balance each other out and you have effectively moved a payment between bookings.To set up a new Receipt Type, go to <strong>SETUP | PARAMETERS | RECEIPT TYPES</strong></span></p>

<p><span style="font-family: arial,helvetica,sans-serif;">There are several scenarios which may involve the transfer of a payment or credit between Bookings like a deposit made on one booking for several rooms.Here is one example:</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">&nbsp;<strong>Example 1: Transfer a Payment from Booking A to Booking B. </strong></span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">For example, Booking A has a deposit of $500, but half of the deposit, $250, needs to be applied to Booking B. <strong><br /></strong></span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">First, go to Booking A:</span></p>
<ul>
<li><span style="font-family: arial,helvetica,sans-serif;">Go to the <strong>Folio</strong></span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Go to <strong>Add Payment</strong>.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Choose the <strong>Transfer Payment</strong> in the Payment Type drop down menu.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Use the<strong> Description </strong>to reference Booking B and the transfer.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Enter a <strong>NEGATIVE PAYMENT</strong> in the amount that needs to be transferred. For example, to transfer $250, enter -$250.</span></li>

<li><span style="font-family: arial,helvetica,sans-serif;"><span style="font-family: arial,helvetica,sans-serif;"><strong>Note</strong>: The Credit Limit in Company setup determines the total amount of credit is being extended to the company. If no value is entered it defaults to 0 and Direct Bill receipts cannot be posted. When you enter a credit limit an AR Account is automatically opened for that Company, and Direct Bill receipts up to the available credit limit can be posted. </span><br /> </span></li>

With a brief reading of these areas of the Manual, a general manager can get the proper Companies entered, extend the right amount of credit to each Company, and use the AR/DIrect Bill system to stay current with the liabilities you will incur by extending credit - Accounts Receivables (AR) business.</span></p>

If you want to use post dating on items just let us know and we can turn on this feature in the software. It is a BookingCenter staff only setting.<br />
<br />
For online bookings where an item is added to the booking during the completion of the online booking, the item will import with the booking, on the folio, using the System Date of the arrival date of the booking. You will have to remove the item and manually put it back into the folio if this is not the desired behavior. When manually putting it back into the folio, you can date the item as you wish<br />
<br />
Remember, if you wish to have the ability for a user to manually set the date for a Charge, alert the BookingCenter staff and we will turn on this feature for your property.]]></content:encoded>

<p><em><strong>Direct Bill credit limit exceeded</strong></em></p>
<p><br />...when posting a <strong>BD:&lt;company&gt;</strong>.</p>
<p>You have a few choices at this point:</p>
<p>&bull; Increase the credit limit available to the Company (this is set and managed in the Setup area and requires 'setup' privilege to access).<br />&bull; Pay down the A/R (ie, get monies from the Company to pay down the 'accounts receivable' which increases the credit limit)<br />&bull; take payment in some other manner for the booking.</p>
<p>The Direct Bill credit limit exceeded is a warning that is intended to make sure that you don't continue to give credit to Companies that are not paying their bills.</p>

<content:encoded><![CDATA[<p><span style="font-family: arial,helvetica,sans-serif;"><strong>How do I give a discount to the guest? </strong>There are times when you need to provide a discount to a guest when a booking is created or after the booking has already been created. &nbsp;Or find a way to reverse Items and/or Taxes from one folio so that they can be moved to another folio. &nbsp;There are options for giving these folio&nbsp;discounts below. The option you choose depends on whether or not you want to be visible to the guest in the folio or as a discounted rate.&nbsp;</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;"><strong>Option 1: Discount Rate Plan<br /></strong></span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">If you simply need to give a discounted rate and the guest doesn't need to "see" the discount on the folio, then apply the discount to the Rate Plan. If you want the discount to appear as a separate transaction on the guest folio, the go to option 2. <br /></span></p>
<ul style="list-style-type: undefined;">
<li><span style="font-family: arial,helvetica,sans-serif;">Prior to check in or before any RENT items have been posted, simply edit (Edit Tab) the booking and change the rate to the appropriate rate plan. &nbsp;If there isn't a predefined rate plan, select Manual rate and enter in the discounted rate.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">After check in or after RENT items have been posted, you can modify the RENT item you wish to discount to give it a new value. To do so locate the RENT(s) or Item(s) postings you wish to discount on the folio and click 'Modify Amount'. </span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">In the 'New Amount' field enter the new dollar amount, <strong>not</strong> the amount of the discount. &nbsp;For example if you had a $150 room rent posting and you wanted to give the guest 10% off ($15) in the new amount field you would put $135.00. &nbsp;The system will post a reversal of the original $150 and then re-post the room rent in $135 including the recalculated taxes.&nbsp; <br /></span></li>

<p><span style="font-family: arial,helvetica,sans-serif;">If you want to apply a discount as a separate line item&nbsp;<span style="font-family: arial,helvetica,sans-serif;">to a guest folio </span> so that it appears to the guest on statements, then you must set up an inventory item called "discount" and then go to the folio to apply the discount.</span></p>
<p style="padding-left: 30px;"><span style="font-family: arial,helvetica,sans-serif;"><strong>Step 1: Setting up the discount item:</strong></span></p>
<ol style="list-style-type: undefined;">
<li><span style="font-family: arial,helvetica,sans-serif;">First create a "Discount" Inventory Item you wish to use in the setup area. Go to SETUP | PARAMETERS | INVENTORY ITEMS<br /></span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">If&nbsp; you want the <span style="font-family: arial,helvetica,sans-serif;">discount to also decrease your tax liability,</span>&nbsp; then the item should be put in the group,&nbsp; RENT. if this is the case, make sure that the item you setup for the discount has tax values that match your RENT item. If you don not want taxes applied, then create or assign a different group.<br /></span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Unless the value of the discount will always be the same, we recommend you leave the sell value blank.</span></li>

<li style="padding-left: 30px;"><span style="font-family: arial,helvetica,sans-serif;">Go to "Add Charge" and select your discount inventory item. <br /></span></li>
<li style="padding-left: 30px;"><span style="font-family: arial,helvetica,sans-serif;">Enter the Quantity as negative number(i.e. -1)and the unit price as the positive amount ( i.e. 20.00)</span></li>
<li style="padding-left: 30px;"><span style="font-family: arial,helvetica,sans-serif;">Click apply payment and the transaction will be applied to the guest folio.</span></li>
</ol>

<p><span><strong>Option 3&nbsp;: Giving TAX Discounts or REMOVALS on Folios<br /></strong></span></p>
<p style="padding-left: 30px;">&nbsp;</p>
<p>Taxes aren't tied&nbsp;to a&nbsp;rate, but they are <em>married</em> to the Inventory Item they are setup&nbsp;with. &nbsp;The Inventory Item: RENT is linked to the Rate, but the same is true&nbsp;of 'beer', 'candy', etc.&nbsp; There are some jurisdictions where it is illegal to present a taxable Item <em>separate</em> from it's tax value on an invoice (which is what a&nbsp;Folio is).&nbsp; Thus, the two - Items and Taxes - are married together.</p>
<p style="padding-left: 30px;">&nbsp;</p>
<p><span><strong>Step 1:</strong> Set up the 'reversal'&nbsp;item as detailed above and make sure it is set to be <strong><em>non-taxable</em>. &nbsp;</strong>We like 'Miscellaneus Item' as a good 'catch all' Item for this purpose. &nbsp;When applying the reversal to the folio, use a Description comment to explain what and why you are doing this.</span></p>

<p><span><strong>Posting the reveral item&nbsp;to the folio:&nbsp;</strong>Once you have your item(s) created you're ready to post the reversal&nbsp;to a folio.&nbsp;&nbsp;</span></p>

<li><span>Open the Guest booking details and go to the Folio.&nbsp;</span></li>
<li><span>Go to "Add Charge" and select your 'reversal'&nbsp;inventory item.&nbsp;<br /></span></li>

<content:encoded><![CDATA[<p>There is no way to 'Add a Direct Bill Payment' to a House Account&nbsp;folio at this time (we are working on it, though). In the meantime, if your House Account charges need to be Direct Billed to a Company for payment later on, here is what we recommend:</p>
<p>Create a new reservation for a guest called 'Direct Bill Charges For &lt;Company&gt;', assign the&nbsp;Cpmpany to the booking, and then cancel it immediately. Use this cancelled folio&nbsp;for charges and payments to this Company as you would a&nbsp;House Account folio.</p>
<p>We recommend a new &lsquo;reservation&rsquo; for each Company account you need to do this for.</p>
<p>While the above solution is not as elegant as we desire, it does work correctly from an accounting perspective. Expect the ability to Add a Direct Bill to a House Account&nbsp;in the near term.</p>]]></content:encoded>

<p><span style="font-family: arial,helvetica,sans-serif;">To unlink an individual booking from a Group booking, follow these steps:</span></p>
<ol>
<li><span style="font-family: arial,helvetica,sans-serif;">Locate the Individual booking, either through the Group Booking or confirmation #, name, etc.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Go the the <strong>BOOKING Tab</strong> and go the <strong>Booking Information</strong> section.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">You will see the group name and an unlink icon. Click the icon to unlink the booking. <br /></span></li>

<content:encoded><![CDATA[<p>Because the A/R (accounts receivables area) will allow multiple payments to a "DB:" to be posted to a <em><strong>single folio</strong></em>, the A/R is a 'dynamic' statement.</p>
<p>If these payments are posted 'along the way', the A/R will reference a folio that may have additional payments to it at a later date. For example, if you were to Apply Payment on 5/4 via "DB:&lt;company&gt;" and then do it again on the same booking 2 weeks later on 5/18 for the "DB:&lt;company&gt;" , the original invoice (folio) would be referenced but a new A/R amount would be there. ie, a second payment took place.</p>
<p>To avoid this in a long-term, extended stay scenario, do one of the following;</p>
<ul>
<li>Check the Guest out each week/ month&nbsp;/etc and issue the "DB:&lt;company&gt;" only once at 'checkout' and then create a new <em>cloned</em> booking for the next week/month. Do this each week to cleanly separate what was 'consumed' and what was 'billed' to the Company.<br /><br /></li>
<li>For each week, 'Add New Folio' to the booking and post each week's "DB:&lt;company&gt;" payment to a new folio on the same booking. This will create a separate folio (invoice number) that <em>won't change</em> and the booking can be as long as desired. You might even call the folio 'Week 1', 'Week 2', and so on.&nbsp;</li>

<p><span style="font-family: arial,helvetica,sans-serif;"><strong>Charges and Payments:</strong> The two column format allows you to&nbsp; see each charge or payment as a line item with a corresponding $ amount in the Charges or Payments columns. The total of each column is shown at the end with the Cusomter balance shown at the end of the Folio.&nbsp; A positive balance indicates an $ amount due. A negative balance indicates a credit balance due to a prepayment or deposit.</span></p>

<content:encoded><![CDATA[<p><span style="font-family: arial,helvetica,sans-serif;">House folios have the same functionality as the Guest folios, however they are NOT linked to a room number or Guest. House Account folios are useful when you have items other than Room related charges such as meals, point of sale items. This can be for an existing guest or for daily charges in a gift shop or restaurant.&nbsp; You can create as many folios as you need and each folio will function independently using the basic folio operations.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">To use the House Accounts for Gift Certificates, see <a href="https://support.bookingcenter.com/index.php?/Knowledgebase/Article/View/198/" target="_blank">Setup Gift Certificates</a>. &nbsp;</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">If setting up POS printers (Point of Sale), read <a href="https://docs.bookingcenter.com/pages/viewpage.action?pageId=3639382">this article </a>to create custom printers and receipts.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">Go to <strong>FRONT DESK | HOUSE ACCOUNTS</strong> to set up, manage and print House Folio accounts. The Primary Folio serves as your main House Account Folio and will always display as the default when you go to the House Accounts. </span></p>
<ul>
<li><span style="font-family: arial,helvetica,sans-serif;">When you Add a Charge or Payment, it will automatically post to the Primary Folio unless have created another folio and chosen it when applying the transactions. <li><span style="font-family: arial,helvetica,sans-serif;">When Setting up a new folio, you have the ability to indicate which charges should automatically be charged to that folio. In the example below, Dinner is set to automatically charge to the Restaurant folio and the gift items to the Boutique folio. This can be changed manually at time of charge, bu this is a convenient way to ensure the charge goes to the correct folio. <li><span style="font-family: arial,helvetica,sans-serif;">House Account folios can be open and closed at anytime as long as they are balanced. To balance the folio, a corresponding charge and payment must be applied. <li><span style="font-family: arial,helvetica,sans-serif;">Remember each folio must be balanced in order to complete night audit, so be sure to make charges and take payments in the correct folios. If you are using a daily folio or have a one-time charge, you can close the folio after it is balanced. The transactions will be recorded and viewable in the Transactions Report. <li><span style="font-family: arial,helvetica,sans-serif;"><strong>Open Letter: </strong>choose the Letter you want to edit by clicking on the Letter I.D. The Letter will open in an Editor.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;"><strong>Editor Toolbar: </strong>The toolbar at the top has many features you can use to customize your Letter including Merge fields used to place booking, financial and guest information from your records and transactions.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;"><strong>BookingCenter "globe" icon:</strong> To see a list of merge fields, click on the the in the top left corner of the editor.</span>

<li>To insert the value of the merge field you want, place your cursor at the location in Letter you want it to appear. Then, click on the desired value from the merge fields list.</li>
<li>To change or edit your Merge fields in the Letter, highlight the field and click on the BookingCenter "globe" icon in the top-left of the editor. Choose the new field from the drop down menu and it&nbsp; will replace the highlighted field.</li>

<li><span style="font-family: arial,helvetica,sans-serif;">Go to <strong>FRONT DESK | HOUSE ACCOUNTS</strong></span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Select the House Account Folio.</span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Select the items to appear the POS Receipt by putting a check mark in the box next to the transaction. To choose all items, check the box next to Date in the top left corner of the folio. <br /></span></li>
<li><span style="font-family: arial,helvetica,sans-serif;">Once you have selected the items, scroll down below the Folio and you will see "Print checked items to POS Printer" . Choose Print or Email from the drop-down list and a new window will automatically open with the Receipt containing the transactions you selected.&nbsp;</span></li>

<li><span style="font-family: arial,helvetica,sans-serif;"><strong>Search Folio:</strong> <span style="font-family: arial,helvetica,sans-serif;"><span style="font-family: arial,helvetica,sans-serif;">Use the Search function in House Accounts, located in the last Tab to search and display House Account folios by name or folio number for historical review. A highlight is that House Account folios can be closed, yet still searchable and reprinted at a later date.</span><br /></span></span>

<li><span style="font-family: arial,helvetica,sans-serif;">Select the status of the folio search: Open or Closed. If you leave it at Select all and click search, it will return a list of all folios. </span></li>

<li>First click on the Folio by choosing in the Tab list at the top.</li>
<li>Click on the Print or Email links in the top right, above the folio. A new window will appear with statement of all of the transactions in the particular folio.</li>
<li>To create a statement with specific items from the primary folio:

<li>First <a href="https://support.bookingcenter.com/index.php?/Knowledgebase/Article/View/587/" target="_blank">Add a new folio</a></li>
<li>Go to the primary folio and select the items by checking the box next to the transactions and then go to the "Transfer checked items to" below the folio and choose the newly created folio from the drop-down list.</li>
<li>Go to the newly created folio and print or email a statement with only those folio items. If you need to add or edit information to the statement, then choose the email function. Print versions can not be edited.</li>

A guest due to check out with an unbalanced folio will appear in the Night Audit under "Clear Folo".</p>
<p>Each Individual and Group booking has a <a href="https://docs.bookingcenter.com/display/MYPMS/Folio">Folio Tab</a> in the <a href="https://docs.bookingcenter.com/display/MYPMS/Guest+Booking+Details">Guest Booking Details</a>.To manage the folio of a Guest Booking, <a href="https://docs.bookingcenter.com/display/MYPMS/Locate+A+Booking">locate the booking</a> and then click on the Folio Tab in the <a href="https://docs.bookingcenter.com/display/MYPMS/Guest+Booking+Details">Booking Details.</a></p>
<p><span style="font-family: arial,helvetica,sans-serif;">To check out a booking, the guest folio must be balanced to insure that all all payments due and that the guest balance is at $0 at checkout. Balancing the folio can be accomplished in several ways by adding charges, applying payments, giving refunds, giving discounts, etc.</span></p>
<p><span style="font-family: arial,helvetica,sans-serif;">The system provides two methods to&nbsp; insure that all Folios are balanced and all payments are received before a guest can check out and the system date can be incremented to the next day.</span></p>

<p>Another approach is to simply make a Manual entry for the&nbsp;Rate you have assigned and make the value $0. &nbsp;This works, as well, but requires manual intervention as well as makes identifying 'how many?' comp rates were given over a time period.</p>
<p>&nbsp;</p>
<p>It may be a good idea to also use a Guest Type code for the types of 'comp rooms' being given, such as 'owners' or 'employees' so one can differentiate betwen the&nbsp;comp rooms&nbsp;given over a time period.</p>

<content:encoded><![CDATA[<p>If one wished to Place a Cleaning or Meal Plan fee(s) into a Rate (common requests from our customers), there are a few ways to do it:</p>
<ol>
<li>If the Cleaning fee is for <em><strong>tracking purposes only</strong></em>, and is already embedded into the Rate, then the easiest way is to use the 'Include Items' approach that is defined <a href="https://docs.bookingcenter.com/display/MYPMS/Default+Rate+Plan+-+Included+Items">here</a>. &nbsp;This assumes the Rate has the price for the &lsquo;fee&rsquo; built-in, and there is no need to make a specific Folio Charge. Basically, you wish to have a simple way to track Cleaning fees&nbsp;or a Meal Plan&nbsp;for specific bookings. &nbsp;</li>
<li>If the need for<em><strong> price variation</strong></em> exists, ie, in one Room&nbsp;you want a $35 cleaning fee applied to the Rate, but another Room requires a $65 cleaning fee <em><strong>AND/OR</strong></em> you want the fee added as a<em><strong> Folio Charge</strong></em> to the booking, then you have two choices:&nbsp;<ol>
<li>Use the <a href="https://docs.bookingcenter.com/display/MYPMS/Default+Rates">Item Included Rate</a> that is available for an Item to be added to a Rate and tracked <em><strong>with and/or without</strong></em> Costs and Taxes. &nbsp;This is availale to all MyPMS and Channel Manager customers and is free, fast, and easy to setup.</li>
<li>Use the&nbsp;<a href="https://www.bookingcenter.com/interfaces-and-modules/packaging-module/">Package Module&nbsp;</a>to include multiple Item(s) in a Rate, dynamically priced with each Item taxed propertly and in the&nbsp;right recurring amount, based on the booking duration. This is a more comprehensive approach, but requires the purchase of the&nbsp;Package Module to enact.</li>
</ol></li>
</ol>
<p>In&nbsp;the&nbsp;case of the&nbsp;Package approach, the steps are as follows:</p>
<ol>
<li>Make sure you&nbsp;have purchased the&nbsp;Package Module for your property. &nbsp; &nbsp;<a href="mailto:sales@BookingCenter.com">Contact us</a>&nbsp;if you need this for your&nbsp;property.</li>
<li>Figure out the Items you are going to need included in your&nbsp;Packages. &nbsp;See:&nbsp;<a href="https://docs.bookingcenter.com/display/MYPMS/Adding+and+Managing+Items">Adding and Managing Items</a>&nbsp;for help doing this.</li>
<li>Build the&nbsp;Package Rate you need for each unique Item you want, making sure to get the descriptions, "from" "to:" (<em><strong>when</strong></em> it's available) and other&nbsp;aspects of the&nbsp;Package correct. &nbsp;This is when you will add the Items you created in Step 2 above. &nbsp;Make sure to get the price correct when you add Item(s) to the&nbsp;Package.</li>
<li>Once you have the Packages built correctly, you need to need to allocate them to where you want them booked, and with the correct Room Types you want them made available. &nbsp;See:&nbsp;<a href="https://docs.bookingcenter.com/display/MYPMS/Allocating+Packages">Allocating Packages</a>&nbsp;for details on doing this. &nbsp;You llikely will want your website (usuallly Agent: BC) and front desk (Agent: MYPMS) as places these Packages can be booked.</li>
<li>Make some test bookings and watch how the Items that were included in the Package get posted to the&nbsp;Folio and affect the&nbsp;Rate. &nbsp;You can cancel your bookings after fine-tuning this.</li>

<content:encoded><![CDATA[<p>We have had requests from customers who wish to automate&nbsp;the delivery of <a href="https://docs.bookingcenter.com/display/MYPMS/Keys+and+Room+Access+Options">Lock Codes</a>&nbsp;to be sent using Auto Letters, as opposed to Self Checkin. This is usually done to reduce costs, but has the following concerns:</p>
<ul>
<li>It&nbsp;will allow some bookings to 'fall through the cracks', such as those&nbsp;booked the same day as arrival. For customers who are setup for Self Check-in, the system knows if a booking is received (from Booking.com or Expedia, for example) for 'today' and immediately begins the automation setup as per the Self Check-in guidelines. &nbsp;This contrasts to <a href="https://support.bookingcenter.com/index.php?/Knowledgebase/Article/View/555">Auto Letters</a>, which are only sent <em>once per day,</em> so these 'same day arrivals as booked' bookings would have to be manually delivered via a Letter you issue manually.</li>
<li>Also, their is&nbsp;no way to initiate payment automatically with the Guest agreeing to 'pay now', which is a core part of self check-in that guarantees payment has been received <em>prior</em> to delivery of a Lock Code. Rather, you will have to manually apply payment to the folios to get payment.</li>
<li>Because the Guest will not be required to check an "I Agree' button to initiate payment, this provides less support in the event of a <em>dispute</em>. &nbsp;The only guarantee one would have to support a dispute would be the eSign letter. That is less desireable than a proper Self Check-in where an explicit message is displayed to accept payment terms.</li>
<li>The <a href="https://www.bookingcenter.com/esign-digital-document-signing/">eSign</a>&nbsp;letter will also have to be manually confirmed to be signed and on file before the Lock Code goes out, as no Self Check-in process would&nbsp;verify that it is on file and received prikor to delivery of a Lock Code.</li>
</ul>
<p>Such scenarios are&nbsp;less than ideal, in order to save on costs, but can be done if one wishes to use Auto Letters to automate&nbsp;the delivery of Lock codes.</p>
