Understanding BookingCenter Payments (BCPayments) settlements and timing of money moves
Posted by Jeff Tweddale on 22 Aug 2025 03:05 PM

When a merchant is a customer of the BookingCenter Payments (BCPayments) service, there are questions about settlement and timing of events. This article attempts to answer those questions.

• What are the differences between BookingCenter Payments (BCPayments) and other merchant accounts you may have had, such as TSYS, Vital, VisaNet, or Heartland Payment Systems?

There are no functional differences.  All support the same authorizations, Purchases (Credits), Credits (Debits), and Batch settlement reporting within the PMS.

• When does funding occur?

Funding gets to the us 48hrs after a batch settlement and we transmit a wire to your checking account on the next Fed Wire.  If there is a weekend or holiday, FedWire does not operate, so this works like 'clock work' on normal business days, but is delayed by weekends and holidays.

A typical example:on the business date 11th, if the property pays Purchases (Credits) and Credits (Debits) onto folios, batches before 1 am on the 12th (thus making the close of the batch the ‘business day’ of the 11th),  the morning of 13th BookingCenter would ‘see’ the money. We would then wire the monies the next morning, so it would be in your checking account on Wednesday the 14h.

An example occurring over a weekend,on the business date 15th, if the property pays Purchases (Credits) and Credits (Debits) onto folios, batches on the morning of 16th (which is a Saturday, in this example) at 6 am, BookingCenter would ‘see’ the money on Tuesday the 19th. We would then wire the monies the next morning, so it would be in your checking account on Wednesday the 20th.

• What events can delay a batch being transmitted to my checking account?

If there are a large amount of refunds in a batch, this can delay due to how the merchant networks analyze for fraud.  A “a large amount of refunds“ is based. On your historical norms, not a finite number.

• How do I know what has been deposited to my checking account?

You are provided a Deposit ticket every time a deposit is made to your checking account, with exactly what is in the deposit. This can be matched up via the Batch ID inside MyPMS.
