The file that BookingCenter sends out when an Excel option is chosen (from a Reports area or the 'Folio to Excel' on a folio) is a .xml, in order to map to Microsoft's current Excel file type. However, older versions of Excel don't use this - they use .XLS and your action to save a report and have it open in Excel thus may not work for your Mac or PC.

Here's how to do this:

When an Excel option is chosen (from a Reports area or the 'Folio to Excel') and your get a dialogue box asking what to do, choose to 'Save As' to a location on your local Mac or PC. I like to Save the file to the Desktop.

Then Right Click (Ctl + Mouse Click) on the file, called folio.xml or somesuch name. and choose "Open With”.

Your computer will list all of your applications and if MS Excel is on on the list, choose it. If you don't have MS Excel installed on your computer, you might also decide to choose another spreadsheet program such as Apple's Numbers or Open Office and that will usually work.

If only a small selection of applications is available, you may need to choose “Other” , then the “Choose Application” window allows you to browse your computer to your Applications area to see all of your Applications.

You may need to select “Enable” All Applications” instead of using the default “Recommended Appications”.

Select Ms Excel from the list of Applications, and choose the option 'Always Open With This Application' to prevent having to do this again and it should open.


Now when you choose an Excel option (from a Reports area or the 'Folio to Excel' on a folio is a .xml) on this Mac or PC, it ought to open Microsoft's Excel program automatically for you. You will need to repeat these steps for each Mac or PC you wish to do this.

If, for some reason, your PC or Mac does not 'remember' what application to open with Excel, then adding a '.xls' to the end of the file will always work. We have seen this with older versions of Microsoft Office for the Mac, where Excel cannot be 'taught' to open .xml files with Excel. In these cases, simply adding a '.xls' to the end of the file always works.
